How to Use Task Queues#

This document explains how to use the Queues section and the Task Queues feature in ContractRoom.

From the Queues section you can assign Agreement Requests and Agreement Approvals to other users or to yourself, and depending on the settings of the frameworks, the system can automatically send these tasks to queues, so the users that are on the Queue Member List can take further action on these items.

The following sections explain step by step how to execute the different actions in the Queues section.


Assigning a Task to a User#

ContractRoom allows you to assign a task from the Queues section to a user for further action.

To assign a task to another user:

  1. Go to the Queues section from the navigation bar on the top part of the screen. The system displays the Queues section.
  2. Locate the task to assign on the New & Pending Assignment section located on the left panel. You can manually search the task on the search bar in the Filter by area.
  3. Once you find the task, click on the Assign to icon and select the user you want to assign this task to from the dropdown list. The platform displays a text box to add a comment.
  4. Add a comment and click Save.

You have assigned the task to the user you selected. You can find this task and its status on the Assigned & In Progress section on the right panel.


Taking a Task from a Queue#

ContractRoom allows you to take a task from the Queues section for further action.

To take a task from a Queue.

  1. Go to the Queues section from the navigation bar on the top part of the screen. The system displays the Queues section.
  2. Locate the task to assign on the New & Pending Assignment section located on the left panel. You can manually search the task on the search bar in the Filter by area.
  3. Once you find the task, click on the Take it icon.
  4. Click Start Now from the dropdown menu to start the Agreement creation process or select Add to your list to generate the Agreement later.
  5. The system displays a a text box to add a comment.
  6. Add a comment and click Save.
  7. If you selected Start Now the platform starts the Agreement creation process. For more information refer to the How to Create an Agreement section of the User Guide.

You have reassigned the Agreement Request to the user you selected. You can find this Agreement Request and its status on the Assigned & In Progress section on the right panel.


Reassigning a task to a Different User#

ContractRoom allows you to reassign a task from the Queues section to another user for further action.

To reassign an task to another user:

  1. Go to the Queues section from the navigation bar on the top part of the screen. The system displays the Queues section.
  2. Locate the task to assign on the Assigned & In Progress section located on the right panel. You can manually search the Agreement Request on the search bar in the Filter by area.
  3. Once you find the task, click on the Reassign to icon and select the user you want to assign this task to from the dropdown list. The platform displays a text box to add a comment.
  4. Add a comment and click Save.

You have reassigned the task to the user you selected. You can find this task and its status on the Assigned & In Progress section on the right panel.
